What does a cafe shift look like with Trail?

Here's how Trail supports each part of the day

Which cafe routines can you run in Trail?

Opening and closing routines

Set the checks for each part of the day, from switching on the coffee machine to the final clean-down. Start and finish every shift to the same standard.

Coffee quality and machine care

Log dose, yield and extraction time against your targets, so every cafe serves the same drink. Schedule backflushing, descaling and filter changes, and raise an Access Maintain callout from the task when a repair is needed.

Shift handovers and new starters

Give the next person a clear list of what needs doing, without relying on a rushed verbal handover.

Allergen and food safety records

Record allergen checks for drinks and food, from milk alternatives to counter bakes, each with a name and a time.

Cleaning and hygiene routines

Daily, weekly and deep cleans, from steam wands and grinders to toilets and seating areas.

Temperature and equipment checks

Check fridge temperatures and equipment as part of the daily routine. If a reading is out of range or a check fails, Trail can require a corrective action.

What does Trail give each part of your cafe team?

How do you keep standards the same across every coffee shop?

Set your checks once and assign them to every cafe, or to groups of sites by area. Every team works to the same steps, wherever they are.

  • One set of checks for every format: conditional logic adapts the same task to a kiosk, a high street cafe or a drive-through

  • Every cafe in view from anywhere: a daily score out of ten for each site, with a traffic light view across your estate

  • Progress you can track: a 30-day trend shows how each cafe's scores are changing over time

Questions about Trail for cafes

Can Trail help with allergen management in a cafe?

Yes. Trail doesn't write your allergen plan, but it makes sure the checks in your plan get done and recorded. You can make fields mandatory, so a check can't be submitted half-finished. If a check fails, Trail can ask your team what they did about it. Every entry is timestamped and shows who completed it.

Can Trail help keep drinks consistent across sites?

Yes. Set up dial-in checks with target ranges for dose, yield and extraction time, and use the same checks in every cafe. Out-of-range readings are flagged, and your reports show which sites are logging them.

How does Trail help train new baristas?

Each task can include written steps, photos and videos, so new starters learn the routine as they work through it. You can also give new starters their own onboarding tasks for their first weeks.

Does Trail work for a single cafe?

Yes. You pay per site, and every plan includes unlimited users, so your whole team can use it at no extra cost. You can start a 14-day free trial with no card required.

What happens when an EHO visits?

Your manager exports a PDF of the checks for whatever dates the inspector wants to see. Each record shows when it was done and who did it, with any photos included and labelled.

Does Trail work without wifi?

Yes. Once the day's tasks have loaded, your team can keep working without a signal. Offline, they can complete checks, log temperatures, add comments, mark tasks as done and snooze tasks. Trail syncs everything when the device reconnects, and each task keeps the time it was actually completed.

A few things need a connection. The day's tasks have to load while the device is online, and photos, file attachments and admin settings only work online. Each device also needs to sync at least once a day. If it doesn't sync before that day's site score is calculated, tasks completed offline will count as missed in the score.
