The digital checklist app that proves the work happened
Paper records tell you a check was done. Trail tells you who did it, when, and whether they were on site, with photo evidence and a named, timestamped record.
Each check is quick to complete, so your team can do it properly on every shift.
Over 300 million tasks completed with Trailapp
A digital checklist app is only as good as the evidence behind it
Trail replaces a tick in a box with a named, timestamped, photo-evidenced record of every check your team completes.
Not just that it was done, but who did it, from which site, at what time, and what they found. That record is exportable as a PDF in a few clicks, with photos embedded and labelled, ready for any inspection or internal review.
Flexible enough for every site, strict enough for every standard
From daily fridge temps to annual fire alarm tests, Trail is the digital checklist app for restaurants, pubs, hotels and cafes that covers every check your sites need to run, and helps them get done, every time.
The evidence layer that paper cannot give you
Any app can record a tick. Trail captures who completed each check and whether they were on site, so you can prove the record in an inspection, a complaint or an internal review.
Six-digit PIN sign-off
On shared devices, each team member signs off with a six-digit PIN. The record shows exactly who completed the check, not just that someone did.
Location verification
Trail records whether each check was completed on site, off site or undetermined. It uses the site location set in your settings.
Camera-only photo capture
Photo fields can be set to camera only. That means every image in the record is a live photograph, timestamped at capture, not one pulled from a camera roll after the fact.
Manager approval workflow
Critical checks can require a manager's approval once they're done. Tasks show as pending approval until a manager signs off.
Timestamped audit trail
Every completion, every checklist item, every record log entry carries a timestamp and a named user. The full history is always there, in the order it happened.
PDF export with embedded photos
Export a complete audit trail as a PDF in a few clicks. Photos are embedded and labelled with the field reference, comment text, and timestamp, ready for an EHO visit or internal review.

Frequently asked questions about digital restaurant checklists
What is a digital restaurant checklist?
A digital restaurant checklist replaces paper-based records with a live, timestamped record of every check your team completes. Trail goes further than a basic digital checklist by capturing who completed each check, from which location, with photo evidence where required, giving you an audit-ready record rather than just a tick in a box.
How does Trail work as a hospitality checklist app?
Your team opens Trail on any device: phone, tablet, or shared terminal, and works through the day's scheduled checks. Tasks arrive in the right time slot, mandatory fields block incomplete submissions, and out-of-range readings trigger corrective actions automatically. Managers see completion in real time and receive a daily score for every site at the end of each day.
Can Trail produce records for an EHO inspection?
Yes. Trail exports a full audit trail as a PDF, with photos embedded and labelled with the field reference, comment text, and timestamp. You can filter by date range, site, task type, or user, and export in a few clicks.
Does Trail work offline?
Yes. Once the day's tasks have loaded, your team can keep working without a signal. Offline, they can complete checks, log temperatures, add comments, mark tasks as done and snooze tasks. Trail syncs everything when the device reconnects, and each task keeps the time it was actually completed.
A few things need a connection. The day's tasks have to load while the device is online, and photos, file attachments and admin settings only work online. Each device also needs to sync at least once a day. If it doesn't sync before that day's site score is calculated, tasks completed offline will count as missed in the score.
