See the tasks completed in every school, without visiting in person
Weekly fire alarm tests, monthly emergency lighting checks and water temperature logs each run on their own schedule, so nothing depends on memory of your team.
Every temperature and allergen check is saved with a name and a time, so the kitchen's food safety records are complete and ready whenever environmental health visits.
Completed tasks appear as they happen, so you can see what's been done across the site and the kitchen without visiting the site.
Add photos and short videos to any task, so anyone covering a shift can see exactly how each job is done.
Opening checks, fridge and freezer temperatures, cooking and hot-holding logs, all against your set ranges.
Confirm that meals for pupils with allergies or special diets are prepared and served correctly, with a record of who checked each one. Required fields mean no check can be submitted half-finished.
Check each week's menu against the School Food Standards, such as daily fruit and vegetables and limits on fried food and keep a record of all actions.
Schedule weekly alarm tests, termly fire drills and monthly emergency lighting checks.
Log water temperatures and flush little-used outlets on schedule, especially after school holidays.
Regular checks on play equipment, gates, fencing and fire exits, with photos when something needs attention.
Record accidents and incidents as they happen, with details, photos, and follow-up actions in one place.
Log faults in the task and raise an Access Maintain callout when a repair is needed.
When environmental health visits the kitchen, or your governors or local authority ask for evidence, Trail has a named, timestamped record of every routine.
Every task named and timed: each entry shows who completed it and when
No half-finished records: mandatory fields block submission until the task is complete
Problems followed up: an out-of-range reading can require a corrective action, linked back to the original task
Records in one export: a PDF of any date range, with photos embedded and labelled
Set your routines once and assign them to every school in your trust, or to groups of schools by area. Every team works to the same steps, wherever they are.
One set of tasks for every school: conditional logic adapts the same task to a primary, a secondary or a special school
Term dates for each school: set holidays and closed dates site by site
Every school in view from anywhere: a daily score out of ten for each site, with a traffic light view across your trust

Trail runs in any browser, so there's nothing to download. Staff can pin it to the home screen of a phone or tablet and use it like an app, on their own device or a shared one in the kitchen or site office.
Ofsted focuses on education, leadership and safeguarding, so Trail isn't an Ofsted tool. What Trail gives you is a clear record of your premises, health and safety and kitchen routines, which your leadership team, governors and trust can review at any time.
Yes. Set up an incident report as a task, with the details, photos and actions you need. Every report is timestamped and shows who completed it.
Yes. You can set holidays and closed dates for each school, so your schedule matches the school year.
Yes. Once the day's tasks have loaded, your team can keep working without a signal. Offline, they can complete tasks, log readings, add comments, mark tasks as done and snooze tasks. Trail syncs everything when the device reconnects, and each task keeps the time it was actually completed.
A few things need a connection. The day's tasks have to load while the device is online, and photos, file attachments and admin settings only work online. Each device also needs to sync at least once a day. If it doesn't sync before that day's site score is calculated, tasks completed offline will count as missed in the score.
