Trail Evo and Access Maintain Evo: connect daily checks with maintenance
Maintenance management just got easier (and more cost effective) than ever.
Integrating Trail Evo with Access Maintain Evo means your team can raise a maintenance callout from inside a Trail Evo task. The Maintain Evo job reference is then linked back to the original record, giving you a clearer connection between the check that found the problem and the maintenance job raised to deal with it.
For hospitality teams, that means a problem found during the shift doesn't have to disappear into a handover note or rely on someone remembering to report it later.
What is the Trail Evo and Access Maintain Evo integration?
Trail Evo runs the daily operational routines of hospitality sites. Teams use it for recurring tasks such as opening checks, fridge temperature records, cleaning schedules, food safety procedures, and weekly fire alarm checks, all of which create a timestamped record of what was completed, when and by whom.
Access Maintain Evo handles maintenance management.
The integration connects the two at the point where an operational check uncovers something that needs repairing.
A team member completing a Trail Evo task can use the Raise a Callout Quick Action to raise a maintenance callout in Access Maintain Evo. Once raised, the Maintain Evo order number is stored against the Trail Evo task.
How does Trail work with Access Maintain?
Consider a routine fridge temperature check.
A duty manager opens Trail before service and works through the site's scheduled tasks. The drinks fridge should be between 0°C and 5°C, but today's reading is 10°C.
Trail can recognise that the value is outside the acceptable range, display a custom warning, and require a corrective action.
If the problem needs maintenance, you can raise an Access Maintain callout from inside the Trail task.
The workflow looks like this:
Why connect operational checks with maintenance?
Finding a fault and getting it repaired are two different jobs.
Without a clear process between them, someone might spot a problem during an opening check, write it in a log and then need to report it separately to the maintenance team. That creates another step during an already busy shift.
The Trail Evo and Access Maintain Evo integration puts the option to raise a maintenance callout where the problem is being recorded.
That can help hospitality teams in three ways:
Report problems when they're found
- The person completing the check can raise a maintenance callout while they have the issue in front of them.
- That is particularly useful for problems discovered through routine checks, such as damaged equipment, faulty refrigeration or issues with the premises.
Keep the original context
- Trail Evo keeps a detailed record of task completion. Depending on how the task has been configured, this can include mandatory fields, acceptable ranges, comments, photographs, timestamps and the person who signed off the task.
- When a maintenance callout is required, the Maintain Evo job reference can remain associated with that record.
- It means you're not simply recording that something went wrong. You can retain the operational context around where the issue was found.
Give each system a clear job
- Trail Evo and Access Maintain Evo solve different problems.
- Trail schedules the checks your teams need to complete, records what happened, and can trigger corrective actions when something fails.
- From there, Access Maintain Evo takes care of the maintenance process. It is the system used to manage assets, contractors and work orders, giving maintenance teams a dedicated place.
Connect your daily operations with Access Maintain
Trail helps hospitality teams schedule, complete and evidence the operational checks that keep sites running. Access Maintain gives maintenance teams the tools to manage the maintenance work those sites need.
The integration connects them at an important moment: when somebody doing the work finds something that needs fixing.
